Create a booking
Take a reservation from the booking calendar: a single room, a walk-in, or a group of rooms on one master invoice.
The booking calendar
Bookings → Calendar is your front desk. Rooms run down the left, grouped by room type, and dates run across the top with today highlighted. Every bar is a booking, coloured by its status. Hover over a bar for a quick summary and click it to open the booking.
- Range sets how many days are visible at once. Today and the arrows move the window.
- Search finds a guest by name. Press Enter to search beyond the visible dates.
- More Filters narrows the calendar by status, room type, floor, location or booking source.
- Today’s Bookings is the panel on the right with today’s arrivals, in-house guests and departures, each with its balance. Collapse it with the arrow for a wider calendar.

Bookings that arrive by themselves
- Online booking engine — guests book on your own site. See Set up the online booking engine.
- OTAs — Booking.com, Expedia, Airbnb and others arrive through the channel manager, with the guest, rate and payment details. See Connect OTAs.
Either way, the booking appears on the calendar with its source set, and the room is taken off sale everywhere else straight away.

Common questions
How do I book a walk-in guest?
Create the booking with today’s date from + New on the calendar, then open it and click Check In straight away. Take payment on the invoice before or after check-in.
What is the difference between a Reservation and an Unconfirmed booking?
A Reservation is confirmed. Unconfirmed is a tentative hold, for example while you wait for a deposit, and it is outlined on the calendar so it stands out.
How do I block rooms for a wedding or tour group?
Use the Group Booking tab when you create a booking and choose how many rooms of each type you need. Each room becomes its own booking linked to the group, with a master invoice for the whole group.
Can a room be double-booked?
No. Roomsy won’t put two bookings in the same room on the same night. With the channel manager connected, a booking from any source also takes the room off sale on your booking engine and every OTA.
