What is a rate plan?

A rate plan is a package you sell for a room type: a price plus the conditions that come with it. One room type usually has several, such as a flexible Best Available Rate (BAR), a cheaper Non-Refundable rate and a Bed & Breakfast rate.

Pricing in Roomsy has two layers. The rate plan describes what you sell. The rate calendar sets how much each plan costs on each date, along with restrictions like minimum stay.

Create a rate plan

  1. Open Settings → Rates → Rate Plans and click Add Rate Plan
  2. Name it
Guests see this name on the booking engine, so make it descriptive: “Bed & Breakfast”, not “BB2”.
  3. Pick one or more room types
If you pick several, one shared plan is created for all of them. Editing its rates then updates every selected room type at once.
  4. Pick the Charge Type
Usually Room Charge. This decides which taxes the nightly charge carries.
  5. Tick “Show in online booking engine” if guests can book it directly
  6. Optional: tick “Derived rate plan”
A derived plan follows a base plan by a percentage or fixed amount, so you maintain only one set of prices. For example, Bed & Breakfast = Best Available + $35.
  7. Click Save
Settings → Rates → Rate Plans → Add Rate Plan

The Rate Plans list groups plans by room type. It shows at a glance whether each one is on the Online Booking Engine and the Channel Manager. Use the icons to edit, duplicate or delete a plan, and Edit Rates to open its prices.

Set prices and restrictions for one plan

Click Edit Rates next to a plan. The rate editor shows a month at a time, one row per value:

RowWhat it means
Adult 1 – Adult 4The nightly price for 1, 2, 3 or 4 adults. Many properties use the same price for 1 and 2 adults and charge more for 3 and 4.
Extra Adult / Extra ChildAdded per extra person above the occupancy-based prices.
Min Stay / Max StayThe shortest and longest stay allowed for arrivals on that date.
CTA / CTDClosed to arrival / closed to departure. Guests can stay through the date but can’t check in (CTA) or check out (CTD) on it.
OnlineWhether the date can be sold online (booking engine and OTAs). Untick it to stop sell.
  1. Click a cell to type a value
Tab moves to the next date and Enter to the next row.
  2. Click and drag across dates to set a range at once
This is the quick way to price a weekend, a holiday or a whole season.
  3. Use Bulk Update for long ranges
Pick a start and end date, choose which weekdays it applies to (for example Friday and Saturday only), and enter the prices or restrictions to apply. The end date is required, so a bulk change never runs on forever by accident.

See every rate at once: the rate calendar

Open Rooms & Rates → Rates for every plan of every room type in one grid, the way a channel extranet shows them. Use Show to switch between prices and restrictions, step through dates 14 days at a time, and click or drag across cells to edit directly. The Online Booking Engine tab shows only the plans sold there.

Rooms & Rates → Rates. Click a plan name to open its full editor.

How a rate reaches a booking

  • When you pick a rate plan on a booking, its nightly prices come from the rate calendar for those dates and that number of guests.
  • Open the booking’s Rate Schedule tab to see the price of every night, with taxes and the total.
  • Type your own Rate on the booking to override the plan for that stay, for example for a negotiated or corporate price.
  • Changing rates affects future bookings and nights. Charges already posted to an invoice are not rewritten.

Extras and products

Breakfast, airport transfers, parking, late checkout and other add-ons are products. Define them in Settings → Rates → Products with a price, a charging scheme (On Start Date, Once a Day or On Checkout), a flat or percentage amount and a charge type. Staff then add them from the booking’s Products tab and they post to the invoice with the right taxes. Tick Show on POS to sell a product from the invoice’s Point of Sale button.

Common questions

What do CTA and CTD mean?

CTA (closed to arrival) means guests can’t check in on that date. CTD (closed to departure) means they can’t check out on it. Either way, guests can still stay through the date. Set both per date in the rate editor.

What is a stop sell?

A stop sell closes a date to online sales. In Roomsy, untick Online for that date in the rate editor or the rate calendar, and the booking engine and connected OTAs stop selling it.

What is a derived rate plan?

A rate plan whose prices follow a base plan by a percentage or a fixed amount, for example Bed & Breakfast = Best Available Rate + $35. Change the base price and the derived plan follows, so you maintain only one set of prices.

How do I charge more for extra guests?

Each rate plan has nightly prices for 1, 2, 3 and 4 adults, plus Extra Adult and Extra Child amounts added per person above those. Set them in the rate editor.

Why can’t a date be booked online?

Usually there is no price, or a price of 0, on that date, and a date without a price isn’t sold online. Also check the Online, Min Stay and CTA rows. See Troubleshooting.
