Hotel room status codes

Every room has a housekeeping status that tells the front desk whether it is ready for the next guest. Roomsy uses the four standard statuses:

StatusMeaning
CleanReady to sell and to check a guest into.
DirtyNeeds cleaning. A room is marked Dirty automatically when a guest checks in.
InspectedCleaned and checked by a supervisor.
Out of OrderNot usable. To take it off sale for given dates, use an Out of Order booking (below).

Room Status

Rooms & Rates → Room Status lists every room with its type, floor and location, the guest currently in it, its housekeeping status and notes. The counters at the top show how many rooms are in each status.

Rooms & Rates → Room Status
  1. Filter by Type or Status to build a housekeeper’s list
  2. Change a room’s status from its dropdown as rooms are cleaned
  3. Add notes for the team, for example “extra towels” or “broken lamp”
  4. Click Print for a paper checklist, or Set All Clean at the end of the shift

Automatic housekeeping

In Settings → Company → Night Audit, the Housekeeping section can mark all rooms Clean automatically at a set time each day, and set how often sheets are changed on long stays. These run with the automatic night audit.

Take a room out of order

For maintenance, renovation or a deep clean, create a booking on that room for those dates and set its status to Out of order. The room shows as blocked (hatched) on the calendar and is taken off sale on the booking engine and every OTA until the block ends.

Room Inventory

Rooms & Rates → Room Inventory shows, for each room type and date, the total rooms, how many are sold and how many are still available. Dates that are full or nearly full are highlighted. The Online Booking Engine tab lets you limit how many rooms of each type are offered online (an allotment).

Common questions

What is the difference between a dirty and an out-of-order room?

Dirty means the room needs cleaning before the next guest. Out of Order means it can’t be used at all, for example during repairs. To take a room off sale for set dates, create an Out of Order booking on it.

When does a room become dirty?

Automatically when a guest checks in, because the room is now occupied. Housekeeping sets it back to Clean or Inspected when they are done, or you can mark every room Clean at a set time each day with automatic housekeeping.

Can housekeepers update room status from their phone?

Yes. Give them a Housekeeper role so they only see room status and housekeeping, and they can sign in on a phone or tablet. See Team, roles and security.

How do I print a housekeeping list?

In Rooms & Rates → Room Status, filter by type or status, then click Print for a paper checklist.
